Overview

A recruitment channel is a public web form that lets job applicants submit their details online. Each submission creates a candidate profile in Synergy with a status you define (for example, Application or Potential). You can customize the form fields, success message, language, and who gets notified when someone applies.

Channels connect to recruitment campaigns so applicants are automatically linked to the correct opening.

Prerequisites

  • Permission: Recruitment → View to open the channel list. Create to add channels. Edit to change forms. Delete to remove channels.
  • Campaigns (recommended): Link a channel to a campaign so applicants are assigned to the right requisition.
  • Job positions / settings: Configure under Recruitment → Setting as needed for downstream workflows.

Step-by-step: View recruitment channels

  1. Go to Recruitment → Recruitment channel.
  2. Review the table: form name, responsible person, form type, and default candidate status.
  3. Click a form name to open the preview panel on the right.
  4. Use the double-chevron button to expand or collapse the split view.

Expected result: A list of web forms with a preview showing the public URL, embed code, CV count, and configuration summary.

Step-by-step: Create a recruitment channel

  1. On the Recruitment channel page, click New.
  2. On the Form information tab, complete:
    • Form name
    • Form type (Form)
    • Form language (validation messages)
    • Submit button text and Success submit message
    • Status — pipeline stage assigned to new applicants (e.g. Application)
    • Notify assigned user — responsible staff member
    • Notification settings — optionally notify staff when a new candidate applies (specific staff, roles, or the responsible person)
  3. Open the Form builder tab and drag fields onto the form (name, email, phone, experience, etc.).
  4. Click Submit.

Expected result: The channel appears in the list. Open the preview to copy the public form URL or iframe embed code.

Step-by-step: Link a channel to a campaign

  1. Go to Recruitment → Campaign and create or edit a campaign.
  2. In the campaign modal, select a Recruitment channel form.
  3. Save the campaign.
  4. Open the campaign preview — the public application URL is shown (includes campaign ID and form key).

Expected result: Applicants who use that URL are linked to the campaign automatically.

Alternatively, use the generic channel URL from the channel preview (…/forms/wtl/0/{form_key}) and ensure the form or process assigns the correct campaign.

Step-by-step: Edit a recruitment channel

  1. In the channel list, click Edit on the row (or open add_edit_recruitment_channel/{id}).
  2. Update form information or form builder fields.
  3. Click Submit.

Expected result: Changes are saved. Note: Saving may generate a new form key — update any published links or embed codes and re-check the campaign assignment.

Step-by-step: Delete a recruitment channel

  1. In the channel list, click Delete on the row.
  2. Confirm deletion.

Expected result: The channel is removed. Campaigns that referenced this form will no longer show a valid apply URL until you assign a different channel.

Step-by-step: Share the public form

  1. Open the channel preview (click the form name).
  2. Under Integrate form website, copy the Form URL or the Embed form iframe code.
  3. Share the link on your careers page, job board, or email campaigns.

Expected result: Applicants complete the form; a new candidate profile appears in Recruitment → Candidate profile with the status you configured.
