Overview

Settings is where HR administrators configure the building blocks used across HR Profile: contract types, salary and allowance categories, onboarding templates, layoff checklists, training types, workplaces, contract document templates, evaluation criteria, and automatic numbering rules.

Access: HR Profile → Settings (requires View on Settings permission).

Step-by-step: Add a contract type

  1. Go to HR Profile → Settings (defaults to Contract type).
  2. Click Add.
  3. Enter name, description, duration, and unit (days, months, or years).
  4. Click Submit.

Expected result: New type appears in the list and is available when creating HR contracts.

Step-by-step: Configure salary and allowance types

  1. Open the Salary type or Allowance type tab.
  2. Click Add and enter the name and default value.
  3. Set tax flags as required by your payroll policy.
  4. Save.

Expected result: Types appear in job description salary scales and staff contract forms.

Step-by-step: Configure layoff checklist template

  1. Open Layoff checklist under Settings.
  2. Click Add, name the template, and select departments it applies to.
  3. On the detail page, add steps — each step has a section name, a responsible person, and individual checklist items.
  4. Save each step.

Expected result: When an employee in a covered department is added to Resignation procedures, these steps copy automatically. See the Layoff checklist guide for the operational workflow.

Step-by-step: Configure onboarding defaults

  1. Open Reception staff under Settings.
  2. Configure:
    • Checklist groups and items — default tasks for new hires
    • Asset allocation — standard equipment rows
    • Training — default program assignment
    • Profile fields — which staff fields to collect during onboarding
  3. Click Save.

Expected result: New receptions created under Receiving staff start with these defaults. See the Onboarding guide.

Step-by-step: Set up contract templates

  1. Open Contract template.
  2. Add a template with a name and HTML body (use available merge fields where shown).
  3. Save.

Expected result: Template selectable when generating staff contracts.

Step-by-step: Configure evaluation criteria

  1. Open Evaluation criteria.
  2. Create subgroups (evaluation types) and add criteria with weights or descriptions.
  3. Save changes.

Expected result: Criteria available when creating HR Evaluations. See the HR Evaluations guide.

Step-by-step: Set numbering prefixes

  1. Open Prefix number.
  2. For each section (job position, contract code, staff code, HR queries), set:
    • Prefix — letters or codes before the number (e.g. EMP)
    • Next number — the next sequence value to assign
  3. Click Save.

Expected result: New records auto-receive codes like EMP-001. Increase the next number if you need to skip a range.

Step-by-step: Assign HR permissions (admin)

  1. Open HR Profile permissions (visible to administrators only).
  2. Select a role and toggle capabilities for each HR feature (Dashboard, HR Records, Training, etc.).
  3. Save.

Expected result: Staff with that role gain or lose access to matching sidebar items.

Reset data (admin — use with caution)

The Reset data tab permanently deletes transactional HR data: onboarding records, training results, contracts, dependants, resignation lists, and Q&A articles. Lookup settings (this page's types and templates) are kept.

Only use when rebuilding a test environment or after explicit management approval.

Troubleshooting

Issue What to check
New contract type not in dropdown Refresh the contracts page; confirm you saved on the correct tab
Layoff checklist empty for a leaver Employee's department must match a template's department list
Staff code not auto-generating Check Prefix number → Staff code prefix and next number
Cannot see Permissions tab Administrator access required
Onboarding template not applying Save Reception staff settings; create a new reception record
