Overview

Settings is where you configure how payroll calculates payslips: tax tables, earnings and deduction types, insurance, column formulas, module integrations, currency rates, and staff permissions. Open Payroll → Settings and use the left sidebar to switch tabs.

Configure settings before entering monthly data (employees, attendance, deductions) and creating pay slip runs.

Prerequisites

  • Permission: Settings → View (open tabs). Create or Edit to save most tabs.
  • Data integration and Reset data require an administrator account.
  • Optional modules (HR Profile, Timesheets, Commissions) must be active before their integration checkboxes become enabled.

Settings tabs at a glance

When HR Profile integration is enabled, the Earnings list tab syncs from HR Profile instead of the standalone earnings grid.

Step-by-step: Configure income tax

  1. Go to Payroll → Settings → Income tax rates.

  2. Enter tax codes, descriptions, rates, and income min/max brackets in the spreadsheet.

  3. Click Submit.

  4. Open Income tax rebates tab.

  5. Enter rebate codes, descriptions, and values.

  6. Click Submit.

Expected result: Tax brackets and rebates are available when pay slip runs calculate income tax.

Step-by-step: Configure earnings and deductions

Earnings list

  1. Go to Payroll → Settings → Earnings list.
  2. Add rows: code, description, short name, taxable flag, basis (monthly or annual).
  3. Click Submit.

Salary deductions list

  1. Go to Payroll → Settings → Salary deductions list.
  2. Add rows: code, description, rate, basis (gross, fixed amount, or linked to an earning type).
  3. Click Submit.

Expected result: Earnings appear as payslip columns; deductions appear on Payroll → Deduction manage.

Insurance list

  1. Go to Payroll → Settings → Insurance list.
  2. Add rows: code, description, rate, basis.
  3. Click Submit.

Step-by-step: Configure payroll columns

  1. Go to Payroll → Settings (opens on Payroll columns by default).
  2. Review system columns (Staff ID, attendance fields, Gross Pay, Net Pay, etc.) — these cannot be deleted.
  3. Click Add to create a custom column: choose taking method (system, formula, or get data) and link to a data source.
  4. Use order values to control column sequence on pay slip runs.

Expected result: Column layout matches your payslip template and calculation needs.

Step-by-step: Data integration

Requires administrator account.

  1. Go to Payroll → Settings → Data integration.
  2. Enable integrations as needed:
    • HR Profile — pull earnings from employee records; optional custom payslip columns on staff profiles.
    • Timesheets — synchronize attendance from the Timesheets module (map work/leave types below).
    • Commissions — import commission data from the Commissions module.
  3. Set Standard working time of the month (default hours, e.g. 160).
  4. When Timesheets is enabled, map actual workday, paid leave, and unpaid leave types.
  5. Click Submit.

Expected result: Monthly screens (Manage attendance, commissions) can sync from integrated modules.

Step-by-step: Currency rates

  1. Go to Payroll → Settings → Currency rates.
  2. On the General sub-tab, set storage days and enable automatic rate fetch if needed.
  3. Use Get online currency rates to refresh rates, or maintain the rate table manually.
  4. Review changes on the Logs sub-tab.

Step-by-step: Grant payroll permissions

Administrator only.

  1. Go to Payroll → Settings → Permissions.
  2. Click New or edit an existing staff member.
  3. Set role and tick the payroll permission groups (employees, attendance, deductions, payslips, etc.).
  4. Save.

Step-by-step: Reset payroll data

Administrator only. Irreversible.

  1. Go to Payroll → Settings → Reset data.
  2. Click Reset data and confirm.
  3. All employees, attendance, commissions, deductions, bonus/KPI, insurance, and payslip transaction data is deleted.
  4. Settings lists (tax, earnings, deductions, columns) are not deleted.

Warning: Use only for test environments or full payroll data wipe before go-live.

Common issues
