Dashboard — User Guide
Module: Fixed Equipment
Audience: IT administrators, asset managers, operations leads
Version: 1.0.0
Last updated: 2026-07-22
Overview
The Dashboard is the Fixed Equipment home screen. It gives you a quick snapshot of how many assets, licenses, accessories, and consumables are registered, how assets are distributed across status labels, how items break down by category, and a log of recent check-in/check-out activity.
This screen is for monitoring only — you cannot create or edit records here. Use the sidebar menus (Assets, Licenses, and so on) for day-to-day work.
Prerequisites
| Task | Permission |
|---|---|
| Open the dashboard | Fixed Equipment → Dashboard → View (or View own) |
View own limits the Recent activity table to actions you performed. Summary counts and the status chart still show organisation-wide totals.
Step-by-step: Read summary counts
- Go to Fixed Equipment → Dashboard (this is the default landing page when you have access).
- Review the four tiles at the top:
- Total assets — active tagged equipment
- Total licenses — software license records
- Total accessories — loanable peripherals
- Total consumables — quantity-based supplies
Expected result: Four numbers reflecting current active inventory. A new installation may show zeros until you add items.
Step-by-step: Assets by status chart
- On the same page, find the Assets by status donut chart (left side of the middle panel).
- Each segment is a status label (for example Deployable, Pending, Archived) with its share of all active assets.
- Colours match the colours configured under Settings → Status labels.
Tip: If the chart is empty, you have no active assets yet, or no status labels are defined.
Step-by-step: Asset categories table
- On the right side of the middle panel, review the Asset categories table.
- Each row is a category from Settings → Categories.
- Columns show how many assets, licenses, accessories, consumables, and components belong to that category.
Expected result: A cross-type count matrix useful for spotting category coverage gaps.
Step-by-step: Recent activity
- Scroll to the Recent activity section at the bottom.
- Review columns:
- Date — when the action occurred
- Admin — staff member who performed it
- Action — check-in, check-out, or other logged event
- Target — staff member, asset, or location involved (clickable link where available)
- Notes — free-text note from the transaction
- The table sorts newest first.
Expected result: A rolling audit trail of asset movements. With View own, you only see your own actions.
Common questions
Why do my activity rows differ from a colleague's?
If you have View own permission, the activity log is filtered to your user ID. Ask an administrator for global View if you need the full log.
Can I export the dashboard?
No built-in export on this screen. Use Reports → Activity for a fuller activity report with filters.
Why does the chart not match the Assets list filter?
The chart counts all active assets globally. List filters on the Assets page are independent.
