Overview

Components is where you track quantity-based parts — RAM modules, hard drives, batteries, and similar items installed into parent assets. Each component record has a total quantity, a minimum quantity warning level, and a remaining (available) count. When you check out components, you assign a quantity to a specific asset (for example, installing two RAM sticks into a laptop).

Use this screen for parts that belong inside or attach to tagged equipment. For loaned peripherals, use Accessories. For supplies handed to staff, use Consumables.

Prerequisites

Task Permission

Delete a component Fixed Equipment → Components → Delete

Setup before adding components:

  1. Settings → Categories — create at least one category with type Component.
  2. Settings → Locations — optional default storage location.
  3. Assets — parent assets must exist before you can check out components to them.

Step-by-step: View and filter components

  1. Go to Fixed Equipment → Components.
  2. Use the filter dropdowns:
    • Category
    • Location
  3. Review the table columns: name, serial, category, total quantity, remaining (available), minimum quantity, location, order number, purchase date, and purchase cost.

Expected result: Active components with availability at a glance. Names and remaining counts appear in red when stock falls below the minimum quantity.

Step-by-step: Add a component

  1. On the Components page, click Add.
  2. Complete the form:
    • Component name (required)
    • Category (component-type category)
    • Quantity (required — total units on hand)
    • Minimum quantity — warning threshold for low stock
    • Serial — optional batch or part serial reference
    • Location, Order number
    • Purchase cost, Purchase date
    • For sell + Selling price (optional)
    • Upload image (optional)
  3. Click Submit.

Expected result: The component appears in the list with remaining count equal to the quantity entered.

Step-by-step: Edit a component

  1. In the list, open the row menu and click Edit.
  2. Update fields and click Submit.

Tip: If units are checked out to assets, verify totals manually before reducing quantity — the system does not always block reductions below checked-out amounts.

Step-by-step: Check out components (from list)

Install or assign a quantity of components to a parent asset.

Before you start: At least one unit must be available.

  1. In the last column, click Check-out on the row.
  2. Confirm the component name.
  3. Select the target Asset (parent equipment).
  4. Enter Quantity (how many units to install or assign).
  5. Add Notes if needed.
  6. Click Check-out.

Expected result: Remaining count decreases by the quantity checked out. The assignment appears on the component detail page and on the parent asset's Components tab.

Step-by-step: Open component details (checkout ledger)

  1. In the list, click View on a row.
  2. The detail page lists active checkouts: target asset (or customer), quantity, notes, checkout date.
  3. To check out more units, click Check-out in the page header (when units remain available).
  4. To return units, click Check-in on a ledger row, enter the quantity to return (can be partial), add notes, and submit.

Expected result: Returned quantities increase the remaining count. Partial returns leave the remainder checked out.

Step-by-step: Bulk upload

  1. On the Components page, click Bulk upload.
  2. Download the template, fill in rows, and upload the spreadsheet.

Validate that categories exist in Settings before importing.

Common issues
